What is the Agreement Center?
The Agreements feature allows you to ensure all employees in your organisation read and accept important documents, such as company policies or updated terms, directly within the app.
This works by showing a mandatory pop-up to users on a recurring schedule. Users must accept the agreement before they can proceed and access the rest of the application.
How to set up an Agreement
Setting up an agreement is a straightforward process.
First, navigate to the Admin section and find the Agreement Centre.
From the Agreement Centre, select Create Draft. All new agreements or edits must start as a draft.
Now you can configure the content of your agreement:
Interval (days): Set the frequency for how often your users will need to re-accept the agreement. For example, 365 would mean they are prompted once a year.
Content: Write the body of your policy here. You can use formatting such as bold text and bullet points.
Confirm Button Label: Customise the text on the acceptance button (e.g., "I have read and agree").
Once you are happy with your draft, click Publish. Please be aware that as soon as you publish an agreement, it becomes immediately live for your organisation. Any user who is due for acceptance will see the pop-up on their next login.
How to manage a live Agreement
You can manage an agreement after it has been published.
Editing an Agreement
To edit a live agreement, you must create a new draft, make your changes, and then publish it. The new version will instantly replace the old one.
Pausing and Resuming an Agreement
To Pause: You can pause any live agreement. This will immediately stop the pop-up from appearing to all users. This is useful if you need to temporarily suspend the requirement.
To Resume: When you are ready, you can resume a paused agreement. The pop-up will reappear for any user whose acceptance period expired while the agreement was paused.
Frequently Asked Questions (FAQ)
Can I send an agreement to a specific team or department?
No, the Agreements feature is designed to be organisation-wide. It will be shown to every user within your organisation, or no one at all.
What is the experience for my employees?
When an employee's acceptance is due, they will be greeted with a pop-up modal upon logging in. This modal cannot be closed, and they must click the confirmation button to gain access to the app.
How can I check who has accepted the agreement?
Every time a user accepts an agreement, it is recorded in the Audit Log. You can see which user accepted, the policy version, and the exact time and date of the acceptance.
